The useful result: A reviewed note with decisions, actions, owners, deadlines and questions kept distinct.
Prepare a record you can check.
Gather the recording, meeting date, project name and attendee list. Confirm permission to record and to upload the material to the chosen provider. Keep any sensitive material your team does not permit out of the upload.
Fireflies.ai documents meeting transcription, summaries and action items. Check which input and access options are available to you. Keep the original recording nearby for checking important passages.
Separate discussion from agreement.
- Prepare the transcript. Use the approved recording in Fireflies.ai. Check names and the sections where decisions were discussed.
- Locate each decision. Record what was agreed and where the agreement appears. An idea someone raised belongs under Questions until the group confirms it.
- Extract proposed actions. Write the task, named owner and deadline as stated. If the owner or date is absent, mark it “needs confirmation”.
- Check against the recording. Revisit the passages supporting important decisions. If the audio is unclear, record the uncertainty instead of smoothing it away.
- Confirm and share. Ask each owner to confirm their action and deadline. Edit the note and share it through your usual team channel.
Ask for a careful first pass.
Use only the meeting transcript supplied below. Draft a follow-up with three sections: DECISIONS - State only decisions explicitly agreed in the transcript. - Include the supporting passage or timestamp when available. PROPOSED ACTIONS - List the task, named owner and stated deadline. - Use 'needs confirmation' for missing or uncertain details. - Do not turn a suggestion into an agreed commitment. OPEN QUESTIONS - List unresolved questions and conflicting statements. Do not infer agreement from confident language. Do not invent names, dates or commitments. What a person must confirm.
Read every decision and action with the recording or the relevant participants. A summary may identify a possible action, but it cannot establish that someone accepted responsibility. Leave unconfirmed details visible in the final note.
If no decision was made, “not decided” is a useful result. The next meeting should inherit the question rather than a fictional answer.
